Step 1: Read and summarize conversations
For each active conversation, summarize:
1. Current stage (initial contact, negotiation, project update, follow-up, delivery)
2. Decisions already made
3. Deliverables promised
4. Open questions
5. Deadlines mentioned
6. Next action expected from me
7. Urgency level (respond today / this week / no rush)
Step 2: Draft replies by stage
For each conversation needing a response, draft a reply that:
- Opens with a reference to the client's specific question or concern
- Answers directly without generic filler
- Adapts tone by stage:
- First response: warm, confident, 1-2 specific questions
- Budget/rate question: confident, trade offer (scope reduction for budget fit)
- Follow-up: brief, non-pressuring, reaffirm interest
- Delivery: professional, attach deliverable, request review
- Scope creep: professional, suggest add-on contract
- Ends with a clear next step
- Is under 150 words
- Sounds like me, not a template
Step 3: Flag urgent messages
Identify messages that need a response today:
- Client asking for a decision or confirmation
- Client expressing concern or frustration
- Client with a deadline mentioned
- Client who has not received a reply in 24+ hours
Step 4: Schedule follow-ups
For proposals sent 48-72 hours ago with no reply:
1. Draft a brief, non-pressuring follow-up
2. Schedule it for the next business day
3. If no reply after 2 follow-ups, mark as closed
Step 5: Track response metrics
Log response time, reply rate, and interview-to-hire rate by client type. Report weekly insights on which communication patterns convert best.
